Basics of the Company Bike Benefit x Probonio
About the Process
Promote sustainable mobility and visualize the company bike leasing directly for your employees in the Probonio app. This way, you bundle information digitally in one place while simultaneously supporting sustainability and employee health in your company.
With Probonio, you can provide all information about your company bike offer as well as existing leasing contracts centrally in the app.
To do this, first add your employees in the employer portal and enter the company bike provider of your choice, for example:
Bikeleasing
JobRad
Lease a Bike
...
Afterwards, your employees can inform themselves about the company bike leasing process in the Probonio app and calculate their individual leasing costs based on the employer subsidy you provide.
Once you have entered the contracts in the Probonio portal, your employees can view, among other things, the following information:
Selected bicycle
Employer subsidy
Additional services (e.g., insurance or inspection)
Leasing duration
Dealer
Both you as the employer and your employees can view the contracts at any time in the Probonio portal (for employers) or in the Probonio app (for employees).
Note: If you offer your company bike leasing through Bikeleasing, a complete integration into the Probonio software is possible.
Activation for Employees and Configuration of the Benefit
To make the benefit company bike available to an employee in the app, you must first configure it for them. Open the menu section Company Bike → Employees
If you do not see the tab Company Bike, please contact your personal contact person. They can enable the function for you.
Switch to the column Benefit inactive.
Select the corresponding employees and click on Configure for employees now.
Tip:
To select all employees, check the box to the left of Employees.
Complete the desired settings in the pop-up window and finish the configuration by clicking Activate.
You can set the following options individually:
Start date and optionally end date
Company bike provider
Employer subsidy
Additional services (e.g., inspection and/or insurance)
You can also enter the URL to your company bike provider's portal here.
Note:
The current month is set as the default start date. If you do not specify an end date, the employee will automatically receive the set employer subsidy every month continuously.
After activation, employees are automatically moved to the column Benefit active. Information about the company bike provider, your subsidy, and from/since when the benefit is active is automatically added in the overview:
Once the benefit is active and usable for an employee, this is indicated on the main page by a dark color marking.
Excel Import of Contracts
You have the option to import your employees' company bike contracts into the Probonio software. To do this, open the section Company Bike → Contracts and select Import contract data.
A new window will open where you can download a template. Enter the contract data into this template and then upload the file again.
Important:
For the import to work, all mandatory fields in the file must be filled out.
Tax Regulations for Company Bike Leasing
Since the company bike is used in the form of a leasing contract, monthly costs for the company bike leasing must be paid. The amount of the monthly leasing rate consists of the purchase price of the bicycle and the costs for insurance (and possibly inspections). The actual net burden depends on factors such as the list price of the bicycle as well as the gross salary and tax class of the employee.
Basically, employers can choose between two different implementation options for the company bike.
Option A: You grant your employees the company bike leasing in addition to their salary instead of a conventional salary increase. Since the company bike is considered a non-cash benefit in this case, tax advantages and exemption from social security contributions also arise here.
Option B: Your employees finance the leasing rates in the form of a salary conversion. Here, only the monetary benefit of 0.25% of the gross list price is taxable. This leads to a cost savings of up to 40% compared to purchasing a conventional bicycle.
