Why do we need a bank confirmation for the SEPA mandate?
At Probonio, we place great importance on security and efficiency in payment transactions. For this reason, we require our business customers to provide a SEPA business direct debit mandate.
1. Specifically for companies: The SEPA business direct debit mandate is specifically designed for business transactions between companies. It offers a tailored solution for the needs of B2B transactions.
2. Higher security: SEPA business direct debit mandates are subject to stricter security requirements. This reduces the risk of unauthorized transactions and provides additional protection for both parties.
3. Efficient payment processing: By using the SEPA business direct debit mandate, we can process payments faster and more efficiently, leading to a smoother business relationship.
4. Bank confirmation required: When setting up a SEPA business direct debit mandate, a bank confirmation issued by your bank is required. This confirmation ensures that the SEPA mandate is registered with your bank.
In summary: The SEPA business direct debit mandate provides a secure, efficient, and reliable method for payment transactions between companies. It protects both Probonio and you from unauthorized transactions and ensures stable payment processing.
What information does a SEPA mandate contain?
A SEPA mandate contains the following information:
• Name of the payer
• Account details of the payer (IBAN and BIC)
• Name and creditor identification number of the creditor
• Mandate reference number
• Date and signature of the payer
What is the creditor identification number?
The creditor identification number is a unique identifier assigned to each creditor in the SEPA area. It must be indicated on the SEPA mandate to uniquely identify the creditor.
How do I get a bank confirmation?
To obtain a bank confirmation for your company SEPA direct debit mandate, please follow these steps:
When you submit the completed SEPA mandate to your bank, inform the bank that you require a confirmation of registration.
The bank will verify the provided information and ensure that all requirements for a SEPA business direct debit mandate are met. After successful verification, the bank issues the confirmation. Depending on the bank, there may be a specific form for this, but the confirmation can also be given by a stamp and signature on the application form or by email. It is important that it is clear that this is the mandate for Probonio.
If your bank does not know how to issue the confirmation, we have provided a template for you here:
Subject: Confirmation of registration of a SEPA business direct debit mandate
Dear Sir or Madam,
hereby we confirm that the SEPA business direct debit mandate you submitted for the company Probonio with the mandate reference _____________ has been successfully registered in our system.
Best regards,
Name: ____________________________________
Signature (+ Stamp): ______________________________________
Date: ____________________________________
Why did I receive a reminder even though SEPA is set up?
Most likely, the invoice was created before SEPA was set up. Therefore, it is still set to bank transfer in the system. We do not collect invoices automatically that were created before the mandate was activated. Please transfer these payments manually. If you give us the go-ahead, we can also collect the invoice retroactively.
Why is the SEPA mandate not effective yet even though I have completed the full setup process?
Please note that a review must take place on our side in the final step. You can check this in the status of the setup process. You will receive an email from us once the SEPA mandate is activated by us. Until then, invoices issued are still set to bank transfer.
What should I do if my bank details change?
Please inform us so that we can deactivate the current SEPA mandate. Then, please complete the process again for the new bank details.
What should I do if I am informed that the wrong document was uploaded?
Please contact your bank again and request confirmation of the registration of the SEPA mandate for Probonio. It must be clear that it relates to Probonio as well as confirmation of the registration. A confirmation of the bank account alone is not sufficient.
As long as the mandate has not yet been activated by us, a new document can be uploaded.
