Employees
Click on Employees under Bike Leasing in the left menu bar to manage settings related to your employees.
Active or Inactive in the Employees menu simply indicates whether the benefit is displayed in the app, not whether active leasing contracts exist. An overview of all active and inactive leasing contracts can be found under Bike Leasing in the Contracts menu.
Select the employees for whom you want to manage the benefit and click on Change configuration for X employees. You can also select all listed employees at once by checking the box to the left of Employees and configure the benefit collectively.
For employees in the Active tab, you can deactivate, pause, or adjust individual options of the benefit in the pop-up. Then click Confirm to save your changes. Note: This only affects the display in the employee app and does not impact the ongoing contract. Please ensure that for active leasing contracts, the bike leasing benefit is not deactivated or paused in the display.
For employees in the Inactive or All tabs, you can activate the benefit for display in the app via the pop-up—optionally for a defined period. Note: This only affects the display in the employee app and does not mean approval of a leasing contract. That approval takes place in the Leasing Contracts menu.
Employer Default Insurance
Navigate to Employer Default Insurance under Bike Leasing in the left menu bar to view, manage, or report insurance cases. Temporarily, links may appear in the Open Insurance Cases and Closed Insurance Cases tabs that will take you directly to the overview in the Bike Leasing portal.
In the Open Insurance Cases tab, you will find all cases reported under the employer default insurance (AGAV) that are currently being processed. The Closed Insurance Cases tab shows all cases that have been fully processed and closed. For better clarity, these are divided into AGAV categories such as long-term illness, death, termination, mutual termination agreement, parental leave, and disability.
Click the info icon next to the page title to open a PDF with all schedules related to the AGAV cases. The file will open automatically in a new window.
In the Employer Default Insurance menu, you can also report a case by clicking the Report Insurance Case button at the top right. You will then be automatically redirected to the Bike Leasing portal, where you select the affected contract and proceed step by step through the reporting process.
First, select the affected contract or search for it using the search bar.
At the top of the page, select the appropriate type of insurance case (e.g., long-term illness, death, termination, mutual termination agreement, parental leave, or disability). Then complete all relevant information and click Report Insurance Case to submit the case.
Payroll Data Export
Navigate to Payroll Data Export under Bike Leasing in the left menu bar to manually generate an export or set up automatic delivery of the payroll data export.
In the Payroll System section, enter the payroll accounting system used by you or your tax office. Under Payroll Data Export you can manually generate and download a report. Under Automatic Delivery, set up regular sending of the payroll data report and a detailed report to up to three email addresses.
Under Tax Office Data, also enter the various wage types for bike leasing. Ideally, obtain the specific wage types from your tax office. Important: Don’t forget to save your changes.
Information & Support
Navigate to Information & Support under Bike Leasing in the left menu bar to find all helpful resources and contact options in one place.
At the top of the view, you have access to the leasing calculator and dealer search—ideal for answering your team’s questions and supporting decision-making.
The most important resources such as our service and insurance manual, instructions for claims processing, an extensive FAQ, and our WhatsApp chatbot are clearly summarized. You will also find contact details for our support teams to reach the right contact person for your concerns.
The page is rounded off by current news about bike leasing, keeping you informed about relevant updates and offers.
Bike Leasing Settings
Navigate to Bike Leasing Settings under Bike Leasing in the left menu bar to view or adjust all parameters related to the leased bike, leasing contracts, and insurance options for your employees. For changes to contractually agreed settings, please contact Bike Leasing Support (temporarily, you may still see a link here that takes you directly to the previous settings in the Bike Leasing portal).
Under Bike Parameters, you define which bikes your team is allowed to lease (e.g., by setting a price range per bike). You also specify the maximum number of bikes per person. Additionally, you can see whether an inspection is mandatory and who is responsible for it, according to your contractual configuration.
Under Leasing Parameters, you see the contractually agreed framework conditions, such as leasing duration, leasing factor, and other relevant details.
Under Insurance Parameters, you see your contractually defined settings for the available insurance options (including information on whether certain insurances are mandatory and who bears the costs). For questions or changes regarding contractually agreed settings, please contact Bike Leasing Support.
