Status Employer Approval Required
Contract Overview
Navigate in the left menu under Bike Leasing to Leasing Contracts to manage all settings related to your employees' leasing contracts – optionally via the tabs Active, Inactive, or All. These show the active, inactive, or all bike leasing contracts of your company, respectively.
You can conveniently download the current contract list as a file using the download button at the top right.
Click on Contract in the right column to open the detail view of the respective contract. There you will see all relevant information about the contract, leased bike, insurance, and logistics. Contract actions such as approval or signature can also be performed directly in this view.
For an overview of all damage reports related to leasing contracts, click on All Damage Reports at the top right.
To see your outstanding tasks as an employer at a glance, switch to the Inactive Contracts tab and filter the status column to Employer Approval Required.
Contract Detail View
When you select a contract, the contract detail view opens. There you will always find all basic contract information such as contract data, bike data, and logistics data. The contract status is displayed at the top right, with various actions depending on the status below it. You can always download the contract document below.
The following sections describe each contract status with specific actions. The statuses Requested, Employee Signature Required, Employer Approval Completed, Bike Handover Required, Bike Shipped, Bike Handover Completed, Canceled / Rejected, and Ended have no additional actions for you as an employer beyond the basic contract information and contract download.
Status Employer Approval Required
To approve (or reject) leasing contracts (sign, depending on company-specific configuration), select the desired contract in the contract overview and go to the detail view.
Using the Approve / Reject Contract button, you will be guided through the process via Signaturit in a new window. Occasionally, the contract detail view may still appear in the previous Bike Leasing portal, where you can click the corresponding button. Approval codes will be sent to you by email.
Click Sign Contract in the detail view to digitally sign the contract. This only applies if your company has agreed to use the signature. You will automatically be redirected to a new window in the Bike Leasing portal and guided through the process, including the approval code, with our service provider Signaturit. The approval code will be sent to you by email.
Status Active
If you want to report damage on company bikes yourself, click Report Damage in the contract detail view. You will then be automatically redirected to the Bike Leasing portal, where you select the affected contract and proceed step by step with the damage report. Finally, click Submit to file the damage report.
Employees must report damage on their employee bikes themselves. We generally recommend that employees have the damaged bike recorded at the local Bike Leasing partner dealer. The dealer can handle the damage professionally and report it directly. This saves work and significantly speeds up damage processing.
If you want to report an insurance case under the Bike Leasing Employer Failure Insurance (AGAV), click Report Insurance Case in the contract view.
Select the appropriate type of insurance case at the top of the page (e.g., long-term illness, death, termination, termination agreement, parental leave, or disability). Then provide all relevant information and click Report Insurance Case to submit the case.
If you want to request an early settlement offer, click Early Settlement Offer.
You will be redirected directly to the contract detail view in the Bike Leasing portal. Click Options there and then again on Request Early Settlement Offer.
In the pop-up window, enter the desired date and finally click Submit to request the offer.
Status Expiring
In the Expiring status, you can also report damage (only for company bikes), report an insurance case under the Employer Failure Insurance, or request an early settlement offer in the contract detail view. Please refer to the instructions in the Active status section for the corresponding procedures.
